Workspace accounts contain names, email addresses, organisation membership, roles and geographic assignments. Operational records may contain observations, incident descriptions, times, locations, original evidence, entered result values and review history. Avoid unnecessary personal data and do not record individual secret ballots.

Access and publication

Server checks restrict records to the relevant organisation, role, contest and geographic assignment. Evidence originals stay outside the public website directory and require an authorised download. Platform administrators manage operational configuration and processing; administrative activity is audited. Only deliberately published result summaries become public. Incident descriptions, reporter identities and private evidence are omitted from those summaries.

Device drafts and email

Optional device drafts encrypt text with your passphrase and remain in this browser until you remove them. Evidence is not stored in this local draft feature. Remove local drafts on shared devices. Optional email alerts contain a workspace link and general status, with operational details omitted. Invitations email a one-time acceptance link that expires after seven days.

Corrections, access and retention

Contact your organisation administrator or PollAxis support to request correction, access or removal. Identity and authority must be checked before changes are made. Review and correction history is retained to support accountability. Automatic retention expiry and self-service deletion are not currently configured; an organisation's deployment agreement must establish retention and any additional processing arrangements before collecting sensitive operational evidence.
